Our Vetting & Evaluation Methodology

Our Vetting & Evaluation Methodology

The trust our clients place in us is our most valuable asset. This trust is built on the assurance that every partner we work with and every recommendation we make has been subjected to a rigorous, impartial, and comprehensive evaluation process. Our methodology ensures that every component of our clients’ journey—from the airport tarmac to their private villa—meets the VVIP standards of safety, luxury, and efficiency that define the Bali Protocol Service brand. This page details the criteria and processes we use to build and maintain our elite network of partners.

The Four Pillars of Evaluation

Our evaluation framework is built on four core pillars: Safety & Compliance, Operational Excellence, Service Quality & Discretion, and Ethical & Sustainable Practices. Every potential and existing partner is assessed against these pillars using a proprietary scoring system.

1. Safety & Compliance (40% Weighting)

This is our non-negotiable foundation. We conduct thorough due diligence to ensure all partners operate legally and meet or exceed industry safety standards.

  • Licensing & Certification: Verification of all necessary government-issued licenses, such as SIUP Pariwisata for tour operators and appropriate permits for transportation companies. See our own credentials on our Safety & Compliance page.
  • Insurance Coverage: Confirmation of adequate liability and vehicle insurance, including BPJS coverage for all staff.
  • Safety Audits: For transportation partners, this includes regular vehicle maintenance checks, driver background checks, and verification of defensive driving certifications. For marine partners, this includes vessel safety certifications and crew qualifications.

2. Operational Excellence (30% Weighting)

This pillar measures a partner’s ability to deliver flawless, efficient, and reliable service.

  • Process Efficiency: For airport partners, we measure key performance indicators (KPIs) like the average time from aircraft gate to vehicle.
  • Contingency Planning: We assess their ability to handle unforeseen circumstances, such as flight delays, traffic, or special client requests.
  • Infrastructure & Assets: Evaluation of the quality of their physical assets, such as the age and condition of a vehicle fleet, the exclusivity of a VIP lounge, or the maintenance standards of a luxury yacht.

3. Service Quality & Discretion (20% Weighting)

This pillar evaluates the ‘soft skills’ that are critical in the luxury space.

  • Staff Professionalism: Assessment of staff training, grooming, language skills, and overall demeanor.
  • Client Discretion: Strict evaluation of their privacy policies and the demonstrated ability of their staff to handle high-profile clients with absolute confidentiality.
  • Personalization: The ability to go beyond standard service and anticipate the unique needs and preferences of our clients.

4. Ethical & Sustainable Practices (10% Weighting)

We believe true luxury is responsible. We prioritize partners who share our commitment to the environment and local communities.

  • Environmental Policy: Review of their policies on waste reduction, single-use plastics, and energy conservation.
  • Community Engagement: Assessment of their commitment to local hiring, sourcing from local suppliers, and supporting community initiatives. Learn more about our own commitments on our Sustainability page.

The Audit and Review Process

Our methodology is not a one-time check. It is a continuous cycle of evaluation.

  1. Initial Vetting: Potential partners undergo a comprehensive initial assessment against our scorecard.
  2. Site Inspections: Our senior team, including our Director of Operations, conducts scheduled and unannounced site visits to experience the service firsthand.
  3. Client Feedback Loop: We actively solicit and analyze feedback from our clients after every service rendered by a partner. This real-world data is a critical component of our review process.
  4. Annual Re-evaluation: Every partner in our network is formally re-evaluated on an annual basis to ensure they continue to meet our evolving standards.

This painstaking methodology ensures that when we provide a service, we are not just making a recommendation; we are providing a guarantee of quality, safety, and excellence.
